A well-established pump and motor manufacturing group operating across four legal entities recently went live with a comprehensive Odoo 18 ERP deployment on Odoo.sh — covering Sales, Purchase, Inventory, Manufacturing, Accounting, CRM, and Expenses — to deliver real-time inter-company visibility, end-to-end serial number traceability, and 70% faster invoice processing across the group’s domestic and export operations.
The manufacturing group, which includes a manufacturing unit, a domestic sales company, a water technology division, and an export arm, had been managing operations on an older ERP software, with accounting maintained separately in Tally. This fragmented approach resulted in no real-time visibility into inter-company transactions and stock movements, manual serial number tracking across manufacturing and sales, inconsistent invoicing formats across domestic and export shipments, and a disconnected CRM where sales visits and lead tracking were done entirely on paper. Quality control lacked a digital audit trail, and salary processing was disconnected from attendance data.
As the group’s manufacturing and export operations grew, the complexity of managing four separate entities on disconnected systems became a critical bottleneck — prompting the company to seek a unified, scalable ERP platform built for multi-company manufacturing.
The implementation replaced fragmented operations with a single Odoo 18 instance on Odoo.sh, unifying all four entities under one multi-company architecture with automated inter-company workflows, serialized production tracking, and GST-compliant export invoicing. Odoo serves as the group’s operational system of record, with accounting data exported to Tally for statutory bookkeeping.
Scope of implementation
The deployment spans seven modules across the group’s four entities:
Sales & Inventory
Manufacturing & Purchase
Accounting, CRM & Expenses
Key Features Delivered & Results
The implementation delivered a multi-entity architecture where all four legal entities operate on a single Odoo.sh instance with inter-company automation rules, shared product masters, and entity-specific accounting configurations — achieving digital operations across the group and replacing paper-based tracking with a single operational source of truth.
Automated inter-company transactions ensure that a Purchase Order raised by the sales company automatically creates a corresponding Sales Order in the manufacturing entity, with invoice and delivery documents syncing bidirectionally. This gives the manufacturing team real-time visibility into sales demand, enabling proactive production planning and reducing stockouts.
On the production floor, serialized production and traceability means every manufactured pump and motor unit receives a unique serial number at the production step — tracked through manufacturing, delivery, invoicing, and after-sales returns. A signature customization solved multi-company serial duplication: a new serial is generated only when an item is received from an external vendor, while an item transferred in from a sister group company reuses its existing serial — keeping every serial unique across the multi-company database. Downstream Bills of Materials consume a specific serial (restricted so only un-consumed serials are selectable), and a dedicated serialized repair flow lets a customer return recall the exact original unit, route it through dedicated repair locations for QC, and return it to sellable stock only after approval. Alongside this, digital quality control workflows with pass/fail recording and automatic rework routing ensure every unit meets standards before it ships.
For the export arm, LUT-based zero-rated GST export invoices with custom layouts showing bank details, IGST details, and serial numbers streamlined compliance. Combined with e-invoicing automation, IRN generation, and e-way bill creation, the group achieved a 70%+ reduction in invoice processing time. High-volume shipping is further supported by batch transfer and multi-step delivery with PICK → OUT validation.
Finally, CRM geo-location tracking with GPS-based check-in/check-out for sales visits enabled data-driven territory management, giving leadership full visibility into visit frequency, coverage, and conversion rates, and geo-tagged attendance check-in supported field staff.
